We will only use this information with your explicit consent or where it is needed to protect your vital interests, for example in an emergency.
Payment information. Card payments are processed securely by our payment provider. We do not store full card details on our own systems.
Where we get your data. Most information comes directly from you. We may also receive your name and contact details from a member, partner or business contact who has nominated you for an invitation or membership. Where this happens, we will tell you how we received your details when we first contact you.
3. How we use your data and our lawful bases
We only use your personal data where the law allows us to. The table below sets out each purpose and the lawful basis we rely on.
| Purpose | Lawful basis |

| Establishing, exercising or defending legal claims | Legitimate interests |
Where we rely on legitimate interests, we have balanced our interests against your rights and freedoms. You can ask us for more information about this assessment at any time.
We do not use your personal data for automated decision-making or profiling that has a legal or similarly significant effect on you. All membership decisions are made by people.
4. Marketing communications
We would like to keep you informed about events, live music, membership opportunities and club news. We will only send you marketing by email, text message or WhatsApp if you have given us your consent, or if you are a member or have enquired about membership and we are permitted to contact you about similar services under PECR. In that case, you will always be given a simple way to opt out.
We may send printed invitations by post, which we do on the basis of our legitimate interests. You can ask us to stop at any time.
You can withdraw your consent or opt out of marketing whenever you wish by:
- clicking the unsubscribe link in any email;
- replying "STOP" to any WhatsApp or text message;
- contacting us at privacy@the100clubstannes.co.uk.
Opting out of marketing will not affect messages we need to send you about your membership, bookings or account.
WhatsApp. With your consent, we may send you WhatsApp messages from The 100 Club's official WhatsApp Business account about invitations, upcoming events and our live music programme. We also use this account to reply to enquiries you send us. If you message us on WhatsApp, or agree to receive updates from us there, your messages are processed by WhatsApp (part of Meta Platforms). We use broadcast lists so that recipients cannot see each other's numbers. WhatsApp's own privacy policy also applies to your use of the service.
We never sell your personal data, and we never share it with other organisations for their own marketing.
5. Photography, filming and founders' recognition
Discretion is at the heart of The 100 Club. We ask members and guests not to photograph or film other people inside the club without their permission.
At selected events, our official photographer may capture the atmosphere, performers and interiors. We will tell you in advance when this is happening. We will only use images in which you can be clearly identified on our website, social media or in press materials if you have given your consent. You can ask us to remove an image of you at any time.
Founder Members. Founder Members may be recognised within the club, for example on a founders' wall or board. We will only display your name publicly, or share it on our website, social media or with the press, if you have given your consent. Founder Members who prefer discretion may choose to be honoured privately within the club only.
6. CCTV
We operate CCTV at the entrances and in public areas of the club to protect members, guests, staff and property, to prevent and detect crime, and to meet the conditions of our premises licence. Signs are displayed where CCTV is in use. CCTV is not used in toilets or private changing areas.
Footage is kept for up to 30 days and then automatically deleted, unless it is needed to investigate an incident or is requested by the police or another lawful authority.
7. Sharing your data
We only share your personal data where necessary, and only with organisations that are required to keep it secure and use it solely for the purposes we specify. These may include:
- payment processors and banks that handle subscriptions and payments;
- providers of our website, booking, membership management, email and cloud storage systems;
- WhatsApp (Meta Platforms), which operates our WhatsApp Business account, when we send you invitations or event updates or you communicate with us through WhatsApp;
- our official event photographer;
- our accountants, auditors, solicitors and insurers;
- the police, Fylde Council licensing team, HMRC or other authorities where we are required by law, or where it is necessary to prevent or detect crime;
- a purchaser or successor if the club or its business is sold or restructured, in which case your data would remain protected under this policy.
We do not share members' or guests' details with other members without permission.
8. International transfers
Some of our service providers, such as WhatsApp, email and cloud software providers, may store or process data outside the United Kingdom. Where this happens, we make sure appropriate safeguards are in place, such as transfers to countries the UK government recognises as providing adequate protection, or the use of approved contractual clauses such as the UK International Data Transfer Agreement.
9. How long we keep your data
We keep personal data only for as long as we need it for the purposes described in this policy.
| Type of data | How long we keep it |
|---|---|
| Membership records | For the duration of your membership and up to 6 years after it ends, to meet legal and accounting requirements |
| Unsuccessful membership applications | Up to 12 months after the decision |
| Invitation, guest and event records | Up to 2 years after the event |
| Enquiries from non-members | Up to 12 months after our last contact |
| Marketing preferences | Until you opt out, after which we keep a suppression record so we do not contact you again |
| Financial and transaction records | 6 years, as required by HMRC |
| CCTV footage | Up to 30 days unless needed for an investigation |
| Event photographs | Up to 3 years, or until you ask us to remove them |
When data is no longer needed, we delete it securely or anonymise it.
10. Keeping your data secure
We use appropriate technical and organisational measures to protect your personal data from loss, misuse and unauthorised access. These include password-protected and encrypted systems, restricting access to staff who need it, staff training on confidentiality and data protection, and secure storage of any paper records. If a data breach occurs that is likely to put your rights at risk, we will notify you and the ICO where required by law.
11. Your rights
Under UK data protection law, you have the right to:
- access a copy of the personal data we hold about you;
- rectification, asking us to correct inaccurate or incomplete data;
- erasure, asking us to delete your data where there is no good reason for us to keep it;
- restrict how we use your data in certain circumstances;
- object to our use of your data where we rely on legitimate interests, and to direct marketing at any time;
- data portability, receiving data you provided to us in a commonly used format;
- withdraw consent at any time, where we rely on your consent.
To exercise any of these rights, please contact us at privacy@the100clubstannes.co.uk. We may need to confirm your identity before responding. We will respond within one month, and there is normally no charge.
12. Cookies
Our website uses essential cookies to make it work and, with your consent, analytics cookies to help us understand how visitors use it. You can accept or decline non-essential cookies through the banner when you first visit, and change your choice at any time. For more detail, please see our Cookie Policy at [link].
13. Age restriction
The 100 Club is for adults only. Membership and attendance are limited to people aged 18 and over, and our website is not intended for children. We do not knowingly collect personal data from anyone under 18.
14. Changes to this policy
We may update this policy from time to time, for example if we change how we use personal data or if the law changes. The latest version will always be available on our website, and we will tell members about any significant changes.
15. Complaints
If you have a concern about how we handle your personal data, please contact us first so that we can try to put it right. You also have the right to complain to the Information Commissioner's Office:
- Website: ico.org.uk
- Helpline: 0303 123 1113
